ADJOURN AGENDA Community Services Memo To: Community Development/ Community Services Committee Town Administrator Lancaster From: Lexy Jacobson, Event Coordinator Date: May 22, 2014 RE: Fairgrounds and Events Division- May Event Update Report: Ready, set, EVENTS. May marks the kickoff to our summer event season in Estes Park! During this time the Events Department is focusing on the upcoming Town Sponsored Events, which include Jazz Fest and Wool Market, prepping the arenas for an additional Dressage show and continuing our progress on the new facilities and event calendar. We have some additions to our calendar, as you will see below, that are certain to add to the guest experience. It is optimistic to see our Performance Park venue being utilized, since the Wednesday Night series was removed from the budget. This was a concern, however we have a full schedule throughout the summer with some great performers! We are highlighting some of the finest musicians across the nation, including our headliner, Sax Appeal: New York Saxophone Legends. New to the festival this year is Estes Park’s own, Snowy Peaks Winery and Turquoise Mesa Winery. We hope to create a next level event complete with a great venue, fine tunes, satisfying appetizers and aged wine. Please stay tuned for verbal updates on attendance at the May 22nd CD/CS meeting of the May 17th and 18th event. For your reference, below you will find the show attendance for previous years. 2008 2009 2010 2011 2012 2013 Jazz Fest 1,235 1,500 1,250 1,260 860 1200  Estes Park Wool Market: As we approach the 2 week countdown, overall staff is very comfortable with their progress and the anticipation continues to grow. The final touches are being made to the layouts in the Event Center and Pavilion, merchandise has arrived and the participants are making their reservations! Administrative Assistant, Heather Gooch, has continued to master our online ticketing system, Thundertix, which has created a user friendly process for our online workshop and RV registration! Our fleece, animal and workshop registrations are all in line and we hope to have an increase from the 2013. Wool Market is a collaborative effort that takes a great deal of attention to detail and overall organization. We believe we have the staff and systems in place to make 2014 a success!  Dressage: We are looking forward to hosting the first event in the Pavilion, with the addition of the May Dressage horse show. The Pavilion will be set to accommodate over 30 horses and stalls for their show. With their traditional August show date, staff is making the necessary adjustments to prepare arenas and the facility. Operations Manager, Matt Lemke, and his staff have been working diligently on improving our arenas to facilitate their show; fencing, quality of dirt, and layouts. COMMUNITY DEVELOPMENT/COMMUNITY SERVICES COMMITTEE May 22, 2014 Report Item #i. Flood Recovery Update This item will be a verbal report by Director Chilcott, who will bring all documents to the meeting for distribution.
