Vavra, Finance Officer DATE: July 7, 1994 SUBJECT: Purchase of Fixed Asset Module In 1992, the Town purchased a new computer system for accounting, payroll, and utility billing purposes. During 1992 and 1993, the Finance Office completed the conversion process to the new ! software. Currently, the Finance Office is keeping detailed records of the Town's $36 million fixed assets in a Lotus spreadsheet developed by Debbie Parrack. The process works, but is very cumbersome; it is not integrated with the General Ledger, is difficult to research I specific assets, and can only be accessed from her personal computer. I am requesting authorization to purchase the Fixed Asset module 1 from HTE, Inc. This will integrate into the HTE General Ledger and ! Purchasing software we are currently using. More than one person will have the ability to inquire into the status of a asset, we will gain the ability to give each asset an individual tag number for ease in locating and tracking, be able to sort types of assets, and sort by department, age, insurance reporting values, etc. The cost of the module is $5,000; $2,500 payable upon order with the balance due upon receipt of the software, $1,360 for training plus travel expenses, and $1,200 for annual support fee. Funds were budgeted in the 1994 Light and Power budget. 1-1

MatzkJ~EZ:77-u SUBJECT: Microfilm Viewer/Copier i The Light and Power, Water, and General Fund-General Government Buildings Departments provided a total of $8,500 in the 1994 budget for replacement of the existing viewer/copier. The main purpose of i this equipment is to view and make copies of subdivision plats which are furnished by Larimer County on 35mm aperture cards. The existing 3M machine no longer makes usable copies. We have received quotations for the following equipment: Model Purchase Annual Price Maintenance Bell & Howell 7000 $ 8,756.75 $ 778.00 (1PM) Canon MP680 12,743.00 1,295.00 Minolta RP607Z (Demo) 9,200.00 1,104.00 (3PMs) The three models quoted have similar features. They include one i zoom lens, a microfiche carrier, make copies. up to 11"x17" on plain I paper, and can be equipped with a microfilm carrier in the future. The Minolta unit includes an image rotation prism and the others do not. The Minolta has a slightly faster print engine than the Bell & Howell and Canon models. The Minolta unit quoted is a demonstration model approximately two years old with. roughly 40,000 copies on the counter. We have seen the model quoted and have visited a company using a Bell & Howell product similar to the one quoted. The Light and Power Department recommends that we purchase the Minolta for $9,200 from Datafilms, Inc. in Denver and that the purchase price and annual maintenance be split equally between the three departments. I have discussed the quotations with Public Works Director, Bill Linnane and he concurs with this recommendation. REM 2-1
