The Rocky Mountain Miniature Horse Club Show, a Team Penning event which is a fundraising event for the Top Hand Organization, and the Colorado Arabian Horse Club Show. The Rocky Mountain Miniature Horse Club Show is June 20'h -June 24; the Colorado Arabian Horse Club Show is June 3091 - July 4*1, the Team Penning event is July 701 & 8E All of these are events we have done in the past and are planning on operating as done in previous years. The closure would need to be in effect from 10:00 am to 10:00 pm on the 25~ and from 10:00 am to 4:00 pm on the 26'1. The festival is also planning on conducting wagon rides as done before from MacGregor Ave to Wonderview back to Elkhorn Ave and on to MacGregor Ave. again. BUDGET/COST: N/A ACTION: Approve the road closure and the operation of the wagon rides. 1 Estes Park Convention & Visitors Bureau Memo To: Community Development Committee From: Peter Marsh, Director of Communications CC: Randy Repola, Jacquie Halburnt Date: May30,2007 Re: CVB Marketing Committee - June, 2007 REPORTS: as of April 30. 1. 2007 Individual Visitors Guide Requests - have rebounded from being down 15.76% to down only 4.95% compared to 06. Perspective, well ahead of 05 and 03 counts. We have no explanation for this, except, perhaps to blame the weather across the United States during the first quarter. At the same time, e-mailed requests for a guide are up by 17.63% over the same period 2006, and May projects to 19.5% increase over 06 Y-T-D. 2. WATS Line calls - offthe pace by 11.26% compared to last year. 3. Visitors Guide Downloads - up 57% over the same period 2006. 4. Magazine Advertising - Responses rebounding to 10.27% behind last year (see point # 1 above) 5. Internet Advertising - a. Our Google Keyword campaign Click Throughs are up by 103% over last year, and once again returning the low $0.35 Cost Per Lead Acquisition we expect. b. Our Colorado.com campaign, launched in early April, generated a Click Through Rate (CTR) of 1.8% compared to an expected 1.5%. Rep comment «Wow, Peter, this is an excellent response!" c. Our event advertising started with Jazz Fest on the web sites of Channel 9 (most used news site in Denver) which resulted in a CTR of.92% compared to a projected .13%. Rep comment 0...what was incredibly impressive, and the highest I have seen, are the dick thrus!"; the Denver Newspaper Agency (2~d busiest) which generated a CTR of .38% versus 13% last year Rep comment "This is the BEST campaign results I have ever seen" and Channel 4, which generated a CTR of .48% compared to projected .13% (still needs tweaking!). The next flight is Wool Market, followed by Rooftop, Scotsfest, fall festivals, and Christmas Parade. It is wonderful to be able to track performance! 1 I . 6. Program Planning - The redesign and printing of the Real Rocky Brochure is complete. 90,000 are distributed annually by a rack display vendor along 1-70 Denver to Burlington, 1-25 Castle Rock to Cheyenne, 1-76 Denver to Julesburg. Planning media programs for 2007 will start with the June Marketing Committee meeting. 7. 2008 Visitors Guide is in its design phase, ad sales have started. 8. Fall Magazine Ads will close during June. 9. Newspaper Advertising - We continue with our Wool Market ads in Front Range dailies as well as the News and Post, and the calendar ad series in the Sunday Post Travel section. Customary comparison reports produced in past years no longer are reliable. Additionally, the dips received are formatted in a manner that eliminates the ability to calculate the number of column inches printed, a base number that is imperative in determining the content placement. The initial 3-month CVB contract with NewzGroup will continue through June. Concerns about the service have been lodged with the company, and unless the service improves significantly during the next 30 days, the CVB is retaining the option to cancel its service agreement with NewzGroup. Given this development, new measurement standards will be developed for future Scope of Service reports and traditional statistical reports will not be produced. Annual cost of the NewzGroup service has been estimated at $1,490 (a base monthly fee plus $.55 for each news clip provided) as compared to the Colorado Press Clipping Service fee of $1,200 annually. Internet News Publication Measurement Highly respected national media consultants, VMS, is credited with developing a system to measure the value of internet content presence. VMS metrics incorporate a site's average number of daily visits, cost of banner advertising, number of words in a particular "story" and a multiplier. Using the formula without the multiplier, the CVB has been testing the measurement system as a basis for determining the news value of internet editorial placements. Using data compiled from an electronic "clipping" service (annual cost: $2,700) operated by Cision (formerly Bacon's), the CVB has been testing the measurement. Results from May show significantly higher values for internet coverage than placements in traditional print media. The new furniture was in place in time for the student art exhibit and the high school graduation ceremonies, giving many local residents the opportunity to see the new updated facility. Repair work will continue through the summer and fall season with some necessary roof work and a few exterior repairs due to water damage. CVB Group Sales Report For the months of April and May in 2007, both the meetings and reunions markets saw increases in both leads and referrals, while the weddings and tour markets saw significant decreases from the 2006 sales figures. The overall combined sales figures for the two months show an increase in referrals for 2007, but show a decrease in leads for 2007. Year to date figures mirror the same tendencies as the past two months with an increase in referrals, but a decrease in group leads that are sent out to our members. There is no particular reason for this that I am aware of other than people appear to be getting a little more resistant to giving out their email address. We will continue to monitor this to see if it is a temporary issue or a growing trend. The fourth annual historic tour will be held on Saturday, June 30. The tour is being presented in conjunction with Rocky Ridge Music Center's centennial and includes the Hewes-Kirkwood Inn and other structures in the western Tahosa Valley. Cost is $15 ($20 on tour day). In conjunction with the tour, the Friends Press has just released a new edition of In the Fale efElkanah, by Dr. James Pickering, concerning the Hewes-Kirkwood Inn. The book sells for $16.95. The Friends also plan to repeat the one-act historical drama "The death of Rocky Mountain Jim" in the Museum meeting room. Six evening performances are planned: June 13, June 27, July 17, July 25, August 1, and August 9. Cost is $10. The third annual Estes Park Heritage Festival will be held August 25 and 26. Museum Friends will have a booth to sell redwood street signs. The Rooftop Rodeo, the Museum Friends and Foundation, and the Art Center of Estes Park are working together on the Queens Dance on July 13. For the Museum Friends, this will replace the Darkhorse Bar/Cowboys to Carousels dance of prior years. The Museum store has started selling photo reprints at $18 for an 8x10 photo. Exhibit Opening: L. Lawrence Lubeck's Rocky Mountains: Paintings from the Crust ofthe Earth Series will open June 22 with a free public reception with the artist from 5 PM to 7 PM. Lubeck's very large, impressionistic oil paintings were completed in Rocky Mountain National Park between 1980 and 1995. After viewing the canvases, visitors to the exhibit will have the opportunity to create their own "artistic masterpieces." The exhibit is on display through November 25. Upcoming Program: June 16 Hard Traveling: Tales and Tunes ofthe American Hobo. Wyoming folksinger, guitarist and communcations professor Chris Kennedy presents a program combining prose, petry, history and song to explore the hobo's life and times. Four Ice Cream Social Fundraisers are planned with the first on June 17 from 2:30 to 4:30 pm at the Senior Center. The Egg and I and " 14Teeners Cafe" are donating food and/or supplies for these events. The Board is seeking volunteers and welcomes all to attend. Fall River Hydroplant Picnic Grounds Rentals: The Town of Estes Park rental program for the Picnic Grounds is successful with many bookings for spring and summer. In order to cover new costs associated with cleaning, trash, supplies and maintenance, staff discussed current revenue and budget figures and adjusted the rental fee from $100 per day to $225 per day effective June 1,2007. The Town of Estes Park offers Tri Fit and Tai Chi classes at the Estes Park Senior Center. Tri Fit classes are taught by the staff and interns from MedX of Estes under the direction of owner Deb Holmes. Tri Fit brings exciting new concepts from the fitness industry that focus on strengthening, development of core or mid-section strength, balance, coordination and joint flexibility. Tri Fit cqmbines exercise philosophies from Pilates, Yoga, Weight Training and Calisthenics. The Tri Fit class and instructors are 'certified by the Silver Sneakers Fitness Program. Classes are 45 minutes of standing and seated aerobics, strength training and stretching done to lively music with a professional instructor trained in exercise sciences. Tai Chi classes are taught by Leo Weber, a martial arts instructor. Tai Chi class is approximately 45 minutes long. The class offers instruction in various forms of Tai Chi and Qi Gong exercises. Students concentrate on balance, relaxation and coordination through the practice of slow, meditative forms or movements which are done in sequence to quiet meditation music. The movements are primarily done while standing or the instructor can adapt some upper body movements to be done while seated. Since inception in 2004, the philosophy for Tri Fit and Tai Chi classes has been and continues to be to make classes available and accessible/ affordable for seniors with the intention of promoting health and fitness while at the same time, providing a source of revenue for general operations. As a comparison, staff researched other exercise class fees at several Front Range Senior Centers: Estes Park Senior Center $ 1.00 per class (new $1.50) Westminster Senior Center $36 for 12 classes ($3) Longmont Senior Center $1.75 to $1.80 per class Boulder Senior Center $5.75 to $6.33 per class Wheat Ridge Senior Center $3 per class /$2.50 for 10 Louisville and So. Suburban $10 per class The per person class fee at the Estes Park Senior Center has been raised as of June 1, 2007 from $1 per class to $1.50/$2.00 per class to help defray added instructor expenses with the new classes. Also beginning June 2007, a "Fit-Plus Card" is available for participants of either Tri Fit or Tai Chi. Persons with memberships to Estes Park Senior Citizens Center Inc. receive a discount on the pass. Past examples include Habitat (housing need) and the Medical Center and Salud (Health Care). In this case, the need served is Business promotion and support. While this is no doubt an important function, it does not appear on its face to fulfill a critical need. Though staff does not recommend a waiver in this circumstance, it is within the authority of the Committee to waive the fee. Staff is unaware of any past waivers under similar circumstances. This will require the Town passing a resolution for this application. Town Administrator Repola requested that this come as a recommendation from the Community Development Committee. This proposed Housing Needs Assessment will be a comprehensive study of the Housing situation in the Estes Park area, including the Park R3 school district A sample of items to be included are: statistical analysis of housing costs, employer and employee surveys, current housing stocuavailability, vacancy rates, housing problems and suggested solutions.
