TOWN OF ESTES PARK Office Memorandum To: Community Development Committee -Trustees Doylen, Levine, Pinkham From: Peter Marsh I)ate: February 24,2006 Re: January Advertising Program Report REPORTS: as of January 31 1. 2006 Visitors Guide Requests: I always caution about putting too much into early numbers, and that holds true here: Requests for Visitors Guides to be mailed are up 339.51% over January, 2005 (1,100 Guides). I can also tell you that calls to the Visitors Center are double last January. 2. Guide Downloads Up 399% (8,303) over last January increasing our reach! 3. Magazine advertising generated leads are up by 168.75% (162) over last January. 4. Internet advertising (Google Ad-Words campaign) generated 10,995 pay-per-clicks in January (not available last January). 5. Search Engine Ranking We continue to solidify our position with our four top Search Engines (Google, MSN, AOL, Yahoo) which generate 98% of our search activity, while filling in across a greater number of search terms in these and most other search engines. Our search engine ranking consultant will conduct a complete review of our web site to suggest and recommend modifications and additions to continue the strengthening of or position. 6. Program Planning Ad Committee is developing a conceptual direction for a new television commercial to be produced prior to the fourth quarter. 7. Other - 2005 Conversion Study (copies to each Trustee and Randy Repola). Very exciting information having to do with the success of our 2005 Travel Brochure approach, our on-line conversion factor. Please see the Executive Summary. ACTION ITEM: None BACKGROUND: N/A BUDGET/COST: N/A RECOMMENDATION: N/A TOWN OF ESTES PARK Office Memorandum To: Community Development Committee -Trustees Doylen, Levine and Pinkham From: Betty Kilsdonk, Director, Museum/Senior Center Services I)ate: March 2,2006 Re: Museum Lighting Upgrade - Request Approval to Proceed BACKGROUND: The Museum' s lighting system has not been upgraded since 1997. In its current state, the ambient light levels are too low for easy viewing of exhibits, and the fixture lighting is spotty and unattractive. One lighting track is poorly connected to the system. In general, the system has become obsolete. In 2005, consultant B. F. Hammond Electrical Design prepared a study ofthe Museum's lighting system. The study recommended several low-cost steps to improve the lighting situation. They include strip lights hidden by valances, rope lights inside some display cases, and painting beams and panels to increase ambient light. Work to be done includes electrical installation, constructing ceiling frames for rope lights, constructing valances, and painting beams and panels. The Friends of the Museum plan to pay directly for the first two items. Estes Valley Electric can do the electrical installation at an estimated cost of $5650, and C. G. Campbell Construction can construct a display case ceiling frame for $826.82 (total $6476.82). We would like the remaining work to be done through the Town. That work includes valance construction, and painting beams and panels. Bids were obtained for those jobs. BUDGET/COST: Budget for this part of the project is $3088. RECOMMENDATION: Staff recommends awarding the valance construction bid to Lloyd Tackman Inc. for $4200.00 and the painting bid to Village Maintenance for $1450.00. In preparation for this summer's anticipated activity at the site, we are requesting approval to purchase picnic tables. The picnic tables recommended by the Parks Department are 8' long and metal. Specifications are attached. BUDGET/COST: $20,000 was budgeted for 14 tables (12 standard and 2 ADA) at the O'Connor Picnic Shelter from the Larimer County Open Space Fund. The Parks Department obtained three bids for the tables. They are the lead entity in a State Heritage Tourism Pilot Program grant application to increase heritage tourism to our area. The program would unite our area's historically-significant sites via a driving tour which would incorporate GPS technology. The National Park, YMCA, Stanley Museum, Rocky Ridge Music Center, MacGregor Ranch, Heritage Festival and others are contributing to the proj ect. The Friends are holding a membership meeting on March 29 from 1 to 3 PM. The meeting is open to any members interested in learning more about Friends activities. A tour of the Museum's off-site storage facility will follow from 3-4 PM. Upcoming Exhibit The Museum will be opening a new exhibit, Charles Partridge Adams: The Mood ofthe Mountain, on April 14 from 5:00 to 7:00 PM. The exhibit will highlight Adams' contribution to the art world and particularly to Estes Park's heritage. It features paintings from private collections as well as from the Museum' s collection. Adams was born in Franklin, Mass. In 1858. His mother moved the family to Colorado when he was eighteen because his sisters were afflicted with tuberculosis. Adams honeymooned at Sprague's Ranch and by 1905 had installed himself in a rented log house. Later that year he built the "Sketch Box," his home studio. For many years, his art was extremely popular in Colorado. After an illness he and his wife moved to California in 1921; he died there in 1942. Upcoming Programs March 18, 11:30 AM Women's History Month Program: Aunt Clara Brown, presented by Opalanga Pugh. Aunt Clara Brown was an ex-slave who came to Colorado during the 1859 gold rush and became one of Central City' s and Denver' s most loved and respected citizens. Sponsored by the Colorado Endowment for the Humanities, the Museum and the Woman's Club. Tickets are $10.00 and include lunch. March 24,7:00 PM Landscape, Memory and Tradition: Ute Reflections on Rocky Mountain National Park Sally MeBeth, Professor of Anthropology at UNC, will discuss an oral history project conducted by Rocky Mountain National Park with the Ute and Arapaho tribes. Rental policies and agreements were reviewed by Town Attorney Greg White during the development process. The Senior Center and Museum 2006 budgets include rental revenues ($2,563 for the Senior Center; $1000 for the Museum). Nancy Matson, Senior Center Program Coordinator, manages the rental program. The Fall River Hydroplant Picnic Grounds will now be added to the Town of Estes Park Rental Program, and $300 is budgeted for rental revenues in 2006. Most recently, a welcome/inquiry folder was created to aid customers. A sample information folder is attached. This folder contains both the documents staff uses, and the information we share with rental customers. Rental information can also be accessed from the Town's website at www.estesnet.com/seniorcenter and www.estesnet.com/museum. Miscellaneous o Each of the 7 standing committees of the Senior Center Board is working to define its mission and purpose as well as actively working on goals for the year. o The Special Transit Rider Advisory Committee meets at the Senior Center quarterly to identify ways to improve the quality of service provided by Special Transit in Estes Park. This month, 22 people (riders, Special Transit staff, Senior Center staff, and Senior Center Board members) met and are working on steps to improve the visibility of the service. Special Transit commended the Town of Estes Park for its continued partnership in allocating funds to operate in Estes Park. Special Transit added Mondays to its weekly schedule beginning February 6,2006. Transit staff continues to keep detailed trip data and will be able to report on the impact of the additional day of service. o Local Girl Scout Lindsey Marquez (10 years old) recently won a statewide award for her blizzard box project at the Estes Park Senior Center. She is due to compete in Washington DC for national honors. She worked with Senior Center staff last winter to provide food boxes for homebound Meals on Wheels clients. March programming at the Senior Center: o Regular weekly programming continues (Arts and Crafts studio, Shakespeare II session, Tri Fit, Tai Chi, Book Club, Treasure Attic, NARFE, Religion and Philosophy Group, cards and games, pool, social opportunities, etc.) o Staff and Board are working with Partners Mentoring Youth to determine the interest in developing intergenerational programming and events. o New Classes: Body Awareness - Tuesdays at 11:00 am beginning March 7 - focusing on strength, flexibility and balance; increasing overall awareness of the body as it relates to pain control, coordination and overall health. Taught by Certified Massage Therapist Pat Boyd. This additional class now completes our goal of offering an exercise class option 5 days a week (Monday through Friday) at 11:00 a.m. at the Senior Center. These facilities are also directly across the street from the 3.8 mile Lake Estes Trail Loop and the outdoor picnic / recreation areas of Lake Estes. We are also please to offer rental of the Fall River Hydroplant Picnic Grounds. The Picnic Grounds are located west of downtown Estes Park on Fish Hatchery Road in a quiet seHing along Old Fall River. The wooded location is perfect for picnics, outdoor weddings, family reunions and other large group events. On-site catering services are available at all three locations or you may bring your own potluck items to the Museum and Hydroplant locations. The first priority of facility use is to provide a place for TOEP-, Senior Center- and Museum-supported meals and activities. Second, rooms will be made available to charitable organizations as deemed appropriate at no fee. Third, rooms may be rented to individuals, non-profit groups, and other recognized clubs or groups. All users are expected to sign and abide by the Rental Agreement. Agreements signed for meetings of an on-going nature will be valid for one calendar year. GENERAL CONDITIONS AND NOTICES 1. Is there a charge for your event? yes no Please explain: 2. Each lessee must complete a Rental Agreement. A person who will be in attendance and take responsibility to meet the agreement terms must sign the form. 3. Lessees may schedule events up to one year in advance with a non-refundable $50 or $100 deposit which will apply to the total rental fee. Reservations are booked on a first-come, first-served basis. 4. The meeting rooms shall not be considered permanent quarters for any lessee, other than the Town of Estes Park, Estes Park Senior Center membership, Museum Friends membership and their related activities. The Senior Center and Museum will not provide storage space for any outside organization or individual. Regular users ofthe facility must apply annually to renew their reservation. Rates are subject to change by the Town of Estes Park with 30 days written notice. 5. Because the Estes Park Museum and the Estes Park Senior Center are public institutions, rentals cannot interfere with either facility's normal activities: exhibits, meal service, education programs, public visitation, etc. 6. Lessees agree that neither the buildings nor grounds will be used to sell a product, announce a fund-raising activity, or hold a fund-raising event without prior approval. 7. The Scheduling Office will review all prospective lessees on a case-by-case basis and reserves the right to refuse rental of the facilities to anyone. 8. A written copy of all printed materials using the names Town of Estes Park, Estes Park Museum, Estes Park Senior Center, Fall River Hydroplant Picnic Grounds and/or their logos must be approved in advance. Failure to submit advance copy will be cause for the Scheduling Office to cancel the event. 9. Lessees using any of the facilities shall be responsible for their own setup and to restore areas as they were found and according to attached sketches or instructions. Failure to do so may result in forfeiture of damage deposit. 1 10. The Scheduling Office reserves the right to cancel or change any scheduled event by giving 21 days notice. 11. The Town Administrator and the Scheduling Office shall have the authority to effect reasonable rules and regulations not covered specifically in this document. 12. Catering for All Occasions (CAO) has exclusive access to, control and use ofthe kitchen at the Estes Park Senior Center. CAO shall enter into separate agreements for catering services with each group that requests such services at Town ofEstes Park facilities. 13. The Scheduling Office will schedule all events and place them on the facilities calendars. 14. An attempt will be made by the Scheduling Office to provide one verbal notice and one written notice to regular users who fail to adhere to rental guidelines. The Scheduling Office may cancel a lessee's regular use agreement based on these findings. b. POLICY ON ALCOHOL IN PUBLIC PLACES 1. The Town of Estes Park does not hold a liquor license, nor does Catering for All Occasions. The lessee must purchase liquor from outside sources and arrange for server/bartender service. Catering for All Occasions does not offer bartender service. Will alcoholic beverages be served? yes no Type of alcohol to be served: Note: Keg beer is not permitted. Alcohol at unsupervised events is prohibited. A facility supervisor must be present during all facility rentals in which alcohol is served. Lessee will be charged $20 an hour per facility supervisor. 3. Serving and consumption of alcoholic beverages and food is restricted to the areas rented. Alcohol may not be consumed anywhere in the parking lots. 4. Lessee agrees to prepare and post a notice in a conspicuous place or physically delineate space using TOEP approved temporary fencing or stanchions. The notice must state that the event is private and not open to the public. 5. Alcohol use may be disallowed when the focus of the event is on a person or group under the age of 21 and/or a significant number of attendees are under the age of 21. 6. Liquor must be delivered day of event, and taken offthe premises immediately following the event. No early deliveries will be accepted. Keg beer is not permitted for any event. 7. According to Colorado law, alcoholic beverages may only be served to those persons 21 years of age or older. No visibly intoxicated individual can be served additional alcohol. Town of Estes Park police officers may walk through the premises at any time to ensure that liquor law and policies are enforced. If, at any time during the event, any violations to the liquor law or TOEP liquor policies are observed, the liquor will be pulled and the bar closed. The on-site facility supervisor has the discretionary power and responsibility to close down an event at which alcohol violations are witnessed including underage drinking or over consumption. 8. Food must be available at all times when alcoholic beverages are distributed. 9. Lessees wishing to provide a cash bar must apply for a Special Events Permit to the Colorado Department of Revenue through the Town of Estes Park, Town Clerk's Office. In addition, the Town of Estes Park charges a local liquor permit fee. Only non-profit organizations qualify for the Special Events Permit. Applications are available from the Town Clerk at the Estes Park Municipal Building 170 MacGregor Avenue, Estes Park, CO 80517. Applications for Special Event Permits must be submitted at least 30 days in advance ofthe event. The application must be accompanied by a diagram of the area to be licensed (available from the Scheduling Office), and the appropriate fees. 10. Alcohol service hours are 11 AM - 11 PM. Alcohol cannot be served for more than four hours per event. All bars are to close and entertainment should stop one-half hour prior to the end of the event. 2 4 c. RENTAL FEES/DAMAGE DEPOSIT/CANCELLATIONS 1. Fifty percent of the estimated rental fee, plus a security deposit and a signed rental agreement, are required to hold the selected date and time. Cancellation less than 2 weeks prior to the event will result in the loss ofthe security deposit. All rental fees are to be paid no later than the day of the event to the Scheduling Office. Checks, cash and money orders are accepted. Lessees must occupy the facility at the time specified or forfeit use and fee for that date 2. The security deposit will be refunded to the lessee less any additional cleaning fees, damage to equipment or facilities, or charge for additional rental time beyond the original contracted agreement. 3. Lessees must occupy the facility at the time specified or forfeit use and fee for that date. d. CATERING SERVICES/FOOD AND BEVERAGES 1. Catering for All Occasions (CAO) is the exclusive caterer for all events at the Estes Park Senior Center. CAO can be reached at (tel) 970/586-1002; (fax) 970/577-3768. All food served at the Senior Center must be obtained through CAO. 2. CAO is the preferred caterer for all events at the Estes Park Museum. Groups renting the Museum and Hydroplant Picnic Grounds have the opportunity to provide their own food and beverages including the use of TOEP-licensed caterers. Discounts on facility rental will be offered to those using CAO for food services. A list of TOEP-licensed caterers is included in this packet. 3. In the case ofpotluck-type events at the Estes Park Museum and Fall River Hydroplant Picnic Grounds, the lessee assumes all responsibility for food and beverages served. 4. No cooking facilities are available at the Museum or Hydroplant Picnic Grounds. Use of coffee pots may be permitted at the Museum with advance notice and instructions on use. 5. CAO and other caterers require separate contractual arrangements and deposits, and separate agreements for use of china and dinner service. 6. Portable gas grills may be brought into the Hydroplant Picnic Grounds and a fire ring are available at the Fall River Hydroplant Picnic Grounds e. SET-UP AND CLEAN-UP 1. The Town of Estes Park provides: a. Tables and chairs for indoor use at the Museum and Senior Center b. Senior Center capacity of: 140 Museum capacity of: 180 Hydroplant capacity of: c. A vacuum cleaner and trash can liners for clean-up d. Access to the Senior Center dumpster for disposal of trash for events held at the Senior Center and Museum. e. Access to a bear proof dumpster at the Hydroplant Picnic Grounds f. Some A/V equipment (screen, slide projector, overhead projector, flip chart easel, TV, VCR) when available, by pre-arrangement with the Scheduling Office 2. The Town ofEstes Park does not provide: a. Set-up and tear-down oftables and chairs b. Set-up of A/V equipment or other equipment c. Table linens or decorations (Linen rental is available from Loveland Steam Laundry. Information is included in this packet.) d. No toilet facilities are available at the Hydroplant Picnic Grounds. Lessee must make prior arrangements for delivery, cleaning and removal of portable chemical toilets. e. Clean-up of facility after events 3. The lessee or representative must arrive prior to the beginning of the event to take care of last-minute arrangements. This person should be the last to leave to determine that cleanup is complete. Same-day set-up and tear-down of event is required unless prior arrangements are made with the Scheduling Office. Time required for set-up and tear-down must be included in total hourly rental fee. 4. The lessee is responsible for informing guests ofthe rules and enforcing them. 3 5. All deliveries and event personnel must enter through designated entryways or driveways. Lessee assumes responsibility for all communication with vendors for delivery of items. Town of Estes Park staffwill not sign for deliveries. 6. The Town of Estes Park is not responsible for items left overnight. 7. Decoration and equipment placement must comply with existing fire code rules and regulations. No alterations to the galleries, walls, or any part ofthe Museum or Senior Center are permitted. No decorations may be hung from light fixtures. No flammable decorations are allowed around an exit. Not more than 25% of a wall space can be covered with flammable decorations. All exits need to be kept clear. The use oftape, wire, staples, tacks, glue and similar items is prohibited. No items may be attached to room surfaces. 8. FIRES: a. Votive candles or drip less tapers in enclosed containers such as hurricane lamps or glass bowls, and floating candles in glass or metal bowls are allowed. No open candles or candles in oils will be permitted. b. All fires at the Fall River Hydroplant Picnic Grounds are restricted to the fire ring or gas grill. (Gas grills not provided) c. Lessees will be required to honor any announced fire bans. d. No firewood is provided. No gathering of firewood is allowed. 9. The dumpster at the Senior Center may be used for bagged trash from events held at the Senior Center or Museum. A bear proof dumpster is available at the Hydroplant Picnic Grounds. No personal or business trash is allowed. No trash is allowed outside any dumpster. All trash must be bagged and tied. The Scheduling Office reserves the right to bill the lessee for trash service. 10. No dumping, bathing, swimming or dishwashing is allowed in the river at the Hydroplant Picnic Grounds. 11. There is no city or fresh water available at the Hydroplant Picnic Grounds. 12. Clean-up must be completed directly after the function. Next-day cleaning is permitted with additional facility rental fees if the site is available. 13. All lessees must satisfactorily complete a site use checkout list and turn it in to the Scheduling Office to secure return of the security deposit. f. ENTERTAINMENT AND NOISE CONTROL 1. The band, disk jockey or other entertainment will be required to notify the Scheduling Office of their equipment type, electrical setup, and requested delivery schedule one week in advance. The Town will not provide equipment or setup of equipment for bands or DJs, such as microphones, electrical tape and stages. 2. The sound level must comply with municipal code and remain acceptable for a residential neighborhood. No sound equipment may be used without prior approval ofthe Scheduling Office. The individual, group or organization seeking use ofthe facility assumes liability for damage to the facility by the lessee's contractors, if any, including outside services of any vendors such as florists, musicians, rental companies, etc., who are hired by the lessee. Volume of loud speakers, etc. must be controlled so that only those in the room will be able to hear. 3. Electrical equipment must not exceed 60 amps for any facility. There are 120 volt/20 amp outlets at the Picnic Grounds. 4. Conduct must be appropriate to a residential area. 5. Children must be supervised at all times. 6. If event use is terminated for any reason by staff or law enforcement, lessee maintains the responsibility for fees due. g. PARKING NEHICLES 1. Free parking is available at all facilities. 2. The lot capacity is 51 cars at the Senior Center and 19 cars at the Museum. Ofthese, 5 are handicapped spaces. There is on-street parking available, and at times, overflow parking may be available at the Estes Park Fairgrounds dirt lot to the south ofthe Senior Center with prior permission. There is dirt parking at the Fall River Hydroplant with a capacity of 50 vehicles. 4 3. The lot at the Hydroplant Museum side ofthe Picnic Grounds is restricted to museum visitors only when the Museum is open. 4. Fire lanes must be kept open. Do not park in front of the dumpsters. 5. Lessees reserving the Senior Center will use the Senior Center lot. Lessees reserving the Museum will use the Museum lot. Ifthere is no conflict, lessees may be able to use both lots with prior permission. 6. Overnight parking or camping is not permitted at any facility. h MISC. CONDITIONS AND NOTICES 1. Early delivery of decorations, floral arrangements, food and beverages must be approved by the Scheduling Office. 2. No event may exceed the building or site capacity. 3. All staff work areas will be closed, and no one will be permitted in these areas. 4. a. Animals are not allowed in the Senior Center or Museum, with the exception of service animals. b. Pets must be on a leash at all times at the Hydroplant Picnic Grounds and animals must be cleaned up after. 5. Smoking is not permitted in any area of the Senior Center or Museum building or on the decks and patios. i. CURFEW 1. Hydroplant Picnic Grounds are closed 9:00 pm to 8:00 am. 2. Hydroplant Picnic Grounds are closed September l to February 1. j. FISHING 1. Fishing is allowed at the Fall River Hydroplant picnic grounds with a Colorado license and by abiding by Division of Wildlife regulations. k. NATURAL SURROUNDINGS 1. Please refrain from climbing, hanging or swinging from trees or from the shelter at the Hydroplant Picnic Grounds. Please respect the beauty of the natural surroundings and do not remove natural objects (i.e. rocks, trees, flowers, antlers, natural obj ects etc) 2. Do not gather firewood from the site. 1. WILDLIFE 1. Please do not harass the wildlife (elk, deer, bears, small animals, birds, etc). Please do not allow your pet to disturb the wildlife. And do not feed the wildlife or leave food out or unattended. m. WEAPONS 1. B and B Deli - Roger Shippy (970) 586-3435 Wildflower Catering - Carol Graham (970) 586-3848 Molly B Restaurant - (970) 586-2766 b. Caterer must be able to demonstrate proof of insurance. Caterer shall obtain, at its own cost and expense, the following coverage with insurance companies licensed in the State of Colorado. i. GENERAL LIABILITY. Comprehensive general liability insurance in the amount equal to at least $150,000.00 per person and $600,000.00 per occurrence and an annual aggregate of at least $1,000,000.00. This coverage shall include, without limitation, bodily injury, property damage and products liability. ii. PROPERTY AND FIRE. All risk property insurance in the amount equal to at least $100,000.00 for the kitchen, food preparation area, and serving area at the Estes Park Senior Center. iii. WORKER'S COMPENSATION INSURANCE. The caterer shall comply with the Worker's Compensation Act of Colorado by insuring under the Colorado Compensation Insurance Authority or under a stock or mutual corporation authorized to transact the business of worker's compensation insurance in Colorado, or by procuring a self-insurance permit from the Industrial Commission of Colorado. iv. FOOD PRODUCT INSURANCE. The caterer is not required to carry food product insurance. However, the caterer is solely responsible for all loss or spoilage of food due to mechanical failure. v. INSURANCE CANCELLATION. All required insurance shall be continued through the period ofthe contract, and each policy shall state that it may be canceled only ifthe Town has been notified 30 days prior to the cancellation. Vl. ADDITIONAL INSURED. The Town shall be named as an additional insured on the caterer's Liability policies with respect to claims of third parties only. The Town, its officers, agents and employees shall be named as additional insured on the caterer's all-risk property insurance policy, and shall be entitled to the proceeds as primary insurance as its interests may appear. Vii. CERTIFICATES. The caterer shall provide the Town with certificates evidencing that all required insurance policies are in effect, that notice of cancellations will be provided to the Town, and that the Town, its officers, agents and employees are listed as additional insured on such policies to the extent required by the contract. 000 c. Lessee and caterer must provide the Program Coordinator with proof of insurance and license prior to final scheduling ofthe event. d. Lessee and caterer must sign this agreement, thereby consenting to the rental program guidelines which include the following information: General conditions and notices Policy on alcohol in public places Fees and damages notice Food and beverage policy Set up/clean up/decorations/furniture/supplies notice Entertainment and noise control Miscellaneous e. All deliveries, pick up and clean up by the caterer must be cleared with the program coordinator ahead oftime, must conform to rental policies, and must fall within the lessee's rental times. f. Caterer understands that the facility will be left in clean,condition including removal of foods, supplies, decorations, etc. A Town representative will assess the facility. Ifthe Town is required to move items, store items, or clean up, a fee of $50 an hour will be charged to the lessee by the Town of Estes Park. g. The Town of Estes Park assumes no responsibility for delivered items nor will the Town sign for deliveries. h. , There are no cooking facilities at the Estes Park Museum. A standard refrigerator, a small microwave and coffee pots are available. Table service and linen rental is the responsibility of the caterer or lessee. Trash bags and dumpster are available. L Caterer assumes responsibility to relay all rules of use to staff who work events at the Estes Park Museum and Hydroplant Picnic Grounds. No outside catering is allowed at the Senior Center j. Caterer understands the use of rented areas may be terminated at any time if rules are violated by caterer or lessee. This decision will be made at the discretion of an authorized Town employee or 1gw enforcement official. Should this occur the Town of Estes Park assumes no responsibility for fees or balance due to the caterer. k. It is understood that the Town of Estes Park and its agents listed in the rental agreement are not responsible for any injuries or losses sustained to any person or the property of any member ofthe caterer's staff. The caterer will hold harmless the foregoing entities for any such loss or liability. Normal Operating hours for the Fall River Hvdroolant Picnic Grounds: 7 days a week - unless otherwise posted- from 8:00 a.m. to 9:00 p.m. The Picnic Grounds are closed from September 1 to February 1. Your key unlocks the driveway gate at the picnic grounds. Before leaving the site. please: OBag and place all trash in dumpster: (combination 13-16-27) ONo food may be left anywhere (to reduce threat of bears and raccoons, etc.) OGrills must be cleaned of all evidence of use; a thin coat of oil must left on all surfaces and covered with the metal protector. o NO illegal fires - use only the fire pit or your own gas grill o Do not attempt to burn unbumable materials in the fire ring All fires must be completely extinguished and ashes removed from the fire pit; a shovel and rake are provided for your use; cold ashes should be placed in the ash barrel and lid tightly sealed. NO dumping of coals in the river or in trash receptacles All coals must be completely cold and shoveled into the metal ASH receptacle To clean grill: put a small amount of oil over grill. Use the grill block to rub the grill until all residues from your cooking is cleaned from the surface. Wipe off the grill with a cloth, then repeat the cleaning operation if the grill is not clean. Finally, put clean oil on grill and wipe with a clean cloth until grill is clean. Put a thin final coat of oil on the grill and cover with the protector. ¤All shelter areas must be swept and clean; a broom is provided for your use ¤All tables must be returned to the shelter area and lined up as in diagram OPets must be on a leash. Remove all pet waste prior to departure ¤No vehicles may be left in the parking lot(s) overnight OCheck for personal belongings ¤All decorations and supplies taken OCoordinate removal of any portable toilets during your rental period (if needed) OReport any damages or problems immediately to the Senior Center Program Coordinator according to the contract ¤Close and lock the gate upon final departure ¤Leave the key AND this completed checklist at the Senior Center reception desk.
