B[.JI~AU 1. Produce and provide appropriate visitor collateral material. Strategy: • With assistance from staff and ambassadors identify and produce products that meet visitors needs (i.e. Maps, Lodging Grid, Events brochure, What to Do with Children in Estes Park) 2. Establish, build and strengthen relationships with travel editors, writers, and producers for general and related media outlets who can generate print or electronic media coverage and motivate their readers/viewers/listeners to travel to and/or lengthen their stay in Estes Park. Strategies: • Proactively seek and secure ongoing coverage from regional and national travel media. • Maintain an editorial calendar for reaching print and electronic media (attached) • Correspond via email, phone and letter to target media contacts • Distribute timely and informational media releases and media alerts • Produce seasonal media kits and feature articles • Maintain a media-friendly multi-purpose media room on EstesParkCVB.com • Fulfill media requests and inquiries • Conduct media familiarization tours 3. Within the next few days information and order forms will accompany business license renewal forms to businesses located within the city limits. To help you see the differences between free basic listings and enhanced listings, staff has begun enabling the enhanced feature providing preferred listing status for all who have entered the "enhanced" information which includes a thumbnail photo. On Feb. 1, only those businesses that have requested additional services (enhanced listings, brochure rack space) will receive the services that require payments. Please note: if the first half or full payment is not received by Feb. 15, additional services will be discontinued until payment in full is received. If electing the 2-payment option, businesses will lose the 2- payment option in 2006 if payment for service is not received by 6/15/2005. If payment in full is not received by 6/15/05, services will be denied until full payment is received. Rates shown in this email pertain only to those businesses located within the city limits of The Town ofEstes Park. Brochures, menus, visitor information handouts Those dropping by the Information Center continue to ask about where to stay, eat and shop and we're not exaggerating when we say they love seeing your brochures, rack cards and menus. The former tenant removed all materials from the Visitors Center when vacating the building, so unless you've brought some by in the last month, we don't have your brochures. You can drop them off any time we're open: 9 a.m. to 5 p.m. Mondays through Saturdays, and 10 a.m. to 4 p.m. Sundays. Information about what's happening around town The CVB gladly accepts information about your event or exhibit for inclusion in the calendar postings on EstesParkCVB.com and for distribution locally and to the media. We do have a few basic guidelines that we follow: • The event must be of community importance (bake sales and other similar fundraisers don't qualify, but a League of Women Voters seminar would) or visitor importance (event must be of professional caliber), • The event must be of short duration (one day, one week or, as in theater performances specific dates). • Event info must include a commercial or professional level phone contact (home phone numbers cannot be used for posting), a contact name (someone we can contact for clarification or more details), time of the event and where it occurs, including a specific street address (i.e.: Estes Park Visitors Center, 500 Big Thompson Ave.), and of course, a description of what the event is all about. How soon do we need the info? As soon as you have it. A communications calendar for 2005 will be distributed before the end of December, but remember that national print media have up to a six-month lead time (Suzy's already fielding calls about special activities for Mothers Day); regional magazines generally need info between 3-4 months in advance, and newspapers often require about events three weeks advance notice. If you have photos of past annual events, we'd like to consider including those on EstesParkCVB.com. New web page photos We are developing a new section for the website where we will list ongoing art and museum exhibits. While that information continues to be included in press releases, it has become apparent that some additional forum for these longer-term events is needed. In order to post the information on EstesParkcvb.com we need photos to illustrate the page. Some ideas: exhibits, artists at work, people viewing exhibits, people watching the artists. Unlike the old HTML calendar on the Town site where we could list things going on for a week, a month, or longer at the top of every month as "All Month", we can't do that with the database driven calendar. We are left with either entering the exhibit on the first of the month and note in the description that it goes on all month, or, we would have to list it every day of the month. The first option isn't fair to the sponsor, and the second looks terrible. So, Suzy and I think we have arrived at a solution. I f you look at the events page, http:Uestesparkcvb.com/events.cfm and the drop down listing of "Type" we are going to add a category of"Ongoing Exhibits" where we will write a page of descriptors and dates of all long term exhibits. This would include the Museum, some CACEP items, Art Center items, etc. We will add the same category "Ongoing Exhibits" to the "Arts and Culture" drop down menu of All Types at http:Vestesparkcvb.com/arts.cfm. That way, we catch both the people looking for events as well as the people looking for Arts and Culture. I think that will give you more exposure than if it were just listed as a single day event which it isn't in this case. It also gives us a tool to address all "ongoing" presentations. Sincerely, Jerry Brownfield 11/24/2004 ESTES PARK CONFERENCE CENTER 2004 YEAR END REPORT The Estes Park Conference Center has completed its fourteenth year of operation; promoting conferences to the Estes Valley during the off peak or "value season". The Colorado economy has begun to see the effects of an economic turnaround since 2001 with the effects of 9/11. While the recovery continues to progress slowly, group travel continues to be affected. The EPCC hosted a total of 144 groups in 2004. Of this total 78 were conferences, equating to 8,297 conference attendees. This was an increase of 9 groups and 299 attendees. The community continues to use the EPCC with 45 groups in 2004, up five groups from last year. The 10,552 local attendees is down from last year, due primarily to smaller group events. Group travel, while on the rise, is still affected by an economy that is slow to rebound in our region. Some ofthe factors of concern include: - organizations are planning shorter conferences and lower attendance is evident - corporate group travel has decreased in the number of overnight out of town events planned - group event planners are looking at venues closer to home for events - for those meetings that still include overnight stays, current airfare wars are allowing planners to look at some cost effective meetings on short notice in other parts ofthe country, getting more "bang for their buck" The Holiday Inn began renovations on the lobby, lounge and restaurant in November. This has decreased available meeting space by two meeting rooms, currently being used for the front desk office and the restaurant. While in relatively good condition, new carpet for the ballroom is greatly needed. Furniture replacement was put on hold last year so coincide this year with the carpet replacement. Community Development Committee Visitors Center Report February 3,2005 The CVB staff has occupied the Visitors Center since November 23,2004. We have come a long way since moving into our new "home". All of the work and repairs that needed to be done have been completed, so things are looking good. The museum even loaned us some vintage photos of Estes Park to hang in our lobby, and this has added a nice touch to the center. The CVB is in the process of purchasing two large maps for the Visitors Center. These items will greatly improve our space and bring an excellent focal point to the now empty walls behind our customer counter. One map will be of the entire state, the other of Estes Park. These maps are being created by the same outfit that designed the beautiful, very large wall map of Colorado found in the Ft. Collins Visitor Center. Our Colorado map will be approximately 6' x 8', and we expect it to be ready to hang soon. The Estes Park map will take a while longer to create, but we plan to have it by May and in time for the summer season. This map will also be printable in a smaller version so that people will be able to carry a copy away with them to use during their adventure in Estes Park. The center recently began testing the retail market by selling post cards and calendars. To date, our sales have not been high, but we anticipate that this income will increase as the busier months draw near. We will also consider selling other items, but may wait to take on more until we have more space in our new building. As I mentioned in my last report, the Chamber took almost everything with them when they left the building, so we have been working to fill our space with information for our visitors. Currently, we have a total o f over 80 brochures from lodging facilities, various activities, retail shops, restaurants and other miscellaneous groups. Every day, the list grows and we are pleased with the response so far, but look forward to providing more information for our visitors as businesses choose to purchase services from the CVB. Businesses have been able to place their information in the center free of charge, as well as sample other CVB services without cost, but with the new year, the CVB fees are taking effect. When the 2005 Business License renewal forms were mailed to businesses in January, the CVB included an order form for services, along with a letter explaining what the CVB has to offer. February 15 is the deadline for businesses to make a full or partial payment toward the total cost of the services they purchase; however, we are doing our best to work with businesses and can be flexible with our deadlines when necessary and appropriate. The CVB staff is committed to providing excellent service to our stakeholders and our goal is to talk to all of them! We have added a temporary staff person, to help the CVB with the current task before us. Peggy Campbell is contacting businesses who have not yet purchased services, to answer any questions they may have, with the goal ofbringing them on board. Peggy worked with the CVB during the development and launch of our new website, so we are pleased to have her back with us. We have created and put into place procedures and processes to handle the income now flowing into the CVB for our new services. To date, we have received an order form from 70 stakeholders. It is still early and the order forms are rolling in daily! MEMORANDUM TO: Mayor Baudek and Board of Trustees FROM: Goal #6 Team DATE: February 2,2005 SUBJECT: Approval of the Stanley Park Master Plan Background: The Town Board's 2002-2004 goals included a review of the Stanley Park Master Plan and in July 2003, the Town Board approved the development o f a Stanley Park Master Plan. Last February the Community Development Committee was presented a "schematic" which was produced by Goal Team #6. At the meeting the Goal Team was directed to take the "schematic" to a higher level. In 2004 the Town Board's Goal #6 was the Stanley Park Implementation Plan. The new Goal Team has been meeting since last summer. Designs Studio West and Roger Thorpe were chosen as the design team and will present the preliminary plan at the February 3rd Community Development Meeting to insure that the Team is going in the right direction on the master plan. All Trustees and the Mayor were invited to attend this meeting. With the approval o f the Community Development Committee the request to approval the final Master Plan will be made at the Trustee Meeting February 8,2005. Estimated cost to repldce this vehicle with a new truck is $80,000, we have however been offered for a limited time the opportunity to purchase the water truck that we have rented the past two summers during the Hunter Jumper event for $48,600 as a used water truck. I have inspected this truck, it has approximately 3,500 miles and appears to be in very good shape, I feel this used vehicle will perform the needs of ~ Stanley Park and give us 15 - 20 years of service with a cost saving of $32,000 over a new purchase. Knowing the mileage, use and type of proposed water truck, I would estimate that the cost/hr would probably be somewhere around $5.00 - $6.00/hr. The proposed changes at this time are: Banner size from 30' to 28' long Grommet size from 5/8" to %" Location of grommets Wind-slots to be recommended Location from Chamber Building to Convention & Visitors Bureau Recommendation: The Special Events Department requests the approval of the changes, TOWN OF ESTES PARK BANNER REGULATIONS & SPECIFICATIONS New: 3/26/97 Amended 10/14/97; 5/25/99; 1/28/05 The Town of Estes Park has two approved banner sites: Banner Location #1 - In the Right-of-way area west of Hwy. 34/36 Intersection (30' 28' x 3'). Banner Location #2 - On-the- north side of the Chamber Resort Building Convention & Visitors Bureau (8' x 3'). The Special Events Dept. will sanction banners for approved Estes Valley events. REGULATIONS. 1. Banners will be installed, free-of-charge, by the Special Events Department, with the Dept. furnishing sufficient rope and fasteners. 2. The request to display banners must be submitted to the Town's Special Events Director at least 30 days prior to the proposed event. 3. Banners for Town-sponsored events will be given first priority. 4. Established, annual events will be given first priority of their choice of banner location. If event sponsors desire to advertise the event at two locations, and the other banner site is available, they may do so. 5. Banners may be "double-sided" at the discretion of the event organizer. 6. Banners may not be installed more than 14 days prior to the scheduled event, and will be removed thereafter. 7. The Special Events Director may refuse the use of a banner, and/or may attach any conditions deemed necessary regarding the use of banners. 8. Event sponsor names are acceptable. 9. Should the banner become damaged during display, it will be immediately removed by the Special Events Department. 10. Banners with campaign or commercial advertising will not be accepted. 25 " r. 11. The applicant hereby indemnifies and holds the Town of Estes Park, its employees, officers and agents harmless from all claims, demands and damages the Town, its employees, officers and agents incur as the result of the display of the banners set forth in this application. Said indemnity shall include, but not be limited to, all costs of defense, including reasonable attorney's fees, expert witness fees, and court costs incurred by the Town as a result of any such claim. SPECIFICATIONS. 1. For Banner Location #1, banners shall be 30' 28' x 3% or be at the discretion of the Special Events Director. 2. For Banner Location #2, banners shall be 8' x 3'. 3. For Banner Location #1, grommets shall be "heavy duty", a minimum of W8" %" ID, no more than 12" apart along the top edge, and no more than 24" apart along the bottom edge. Reinforced 5%" %" ID grommets shall also be installed in the four corner edges. 4. For Banner Location #2, reinforced 6%8" %" ID grommets shall be installed in the four corner edges:, and at top and bottom at 3' and 6'. 5. To preclude standard lettering on a solid background, all banners shall include an artistic expression(s). 6.
