Town of Estes Park Community Development Committee April 27,2000 SENIOR CENTER MEALS 627 congregate meals and 305 meals on Wheels were served in March for a total of 932. Meals on Wheels Emphasis is on getting out the word about the availability of Meals on Wheels in the Estes Valley for those who meet the Office on Aging criteria. The Senior Center brochure presenting all services and activities will soon be ready for distribution to services groups, churches and medical facilities. In addition, Meals on Wheels will be a featured article in the Center's second quarter newsletter. We are hopeful that the Trail Gazette will give the program visibility in May with a photo and brief article. A Senior Focus radio program will also feature Meals on Wheels. FUND RAISING The Seniors hosted the first Breakfast Buffet of the season on April 15. In spite of inclement weather, 63 people participated with net proceeds of $311. As of April 24,30 tickets have been sold for the Duck Race. The Friends Board has appointed a Funds Raising Committee comprised of Board Members Clint Goodman, Elmina Ringdahl, and Walt Richards. Betty Kilsdonk met with them and Jody Thompson on April 26 to give the Committee directional assistance. STRATEGIC PLANNING Betty Kilsdonk facilitated three Strategic Planning workshops with the Friends Board and Jody Thompson to assist the Board in goal setting and long range planning. The sessions were very productive, and the Plan has now been formalized and will be adopted by the Board. Jody will review aspects of the Plan as appropriate at monthly Board meetings. VOLUNTEER RECOGNITION Over 50 Museum and Senior Center volunteers were honored at a morning coffee at the Senior Center on April 19. Mayor Baudek was present to address the group and express appreciation on behalf of the Town for countless hours of dedicated services. .-1- ACTIVITIES SPRING FLING, a party open to the community will be held at the Center on Thursday evening, April 27. The activities will include live music for dancing, many board games and card playing, and a sing-a-long. Upcoming field trips include a Rockies game on May 25 and Boulder Dinner Theatre on May 28. Recent lunch time programs included a weaving demonstration; health care; entertainment by the Mountainaires; and "Elaine" (ventriloquist's figure) chatting with the Seniors, including visitors from Merrill Gardens in Loveland, about living in Estes Park. STAFFING Marge Chudy, part-time Meals on Wheels helper, has tendered her resignation effective May 19. In addition to replacing Marge, it will be necessary to identify at least one additional call-in cook for summer. OPEN HOUSE The Senior Center will partner with the Museum to hold a Community Open House on Saturday, May 20 from 1 :00 p.m. to 4:00 p.m. Tours and refreshments at the Center will coincide with free admission to the Museum where activities will include two book signings in addition to the Clatworthy exhibit. HERITAGE GARDEN Phase 11 of completing the Heritage Garden is underway. This will consist of spreading fill dirt and top soil, provided by the Parks Department, around the Garden; the planting of three large evergreen trees donated as memorials by three members, as well as planting some seedling trees and wildflowers. This effort will be in conjunction with Arbor Day. The continued sale of bricks will also be promoted during this time. , MEMORANDUM To: Community Development Committee From: Betty Kilsdonk Re: Monthly report Date: April 27,2000 Upcoming Events Saturday, April 29 2 PM at the Museum Post card collector Bobbie Heisterkamp will lead an in-depth gallery tour of Wish You Were Here, the Museum's post card exhibit. Subsequently a plan was developed for a $650,000 expansion including a vestibule, restrooms, expanded shop, meeting room, kitchen support, parking, exhibit prep, office, and collections storage equal to the present onsite storage space. Town trustees approved matching funds of $39,098 for phase I of the project in the Museum's 2000 budget. A Facility Expansion Committee of the Museum Friends Board has been meeting to determine a fundraising approach. The Committee's recommendation is to fund a study to determine the feasibility of conducting a capital campaign. Why do a Feasibility Study? A feasibility study could help us assess our internal capability of securing major grants and gifts, to test the feasibility of an overall fundraising goal, and suggest the best course to complete the capital campaign successfully. Elements of a feasibility study typically include an internal audit of fundraising history and preparedness, staff and community interviews, an assessment of the overall fundraising environment, and gathering the information necessary to develop a campaign approach and action plan. One of the Committee's questions over the past year has been whether the expansion as planned goes far enough in the areas of collections storage and exhibits. Over the past several years it has become increasingly apparent that offsite storage at the old Light and Power building will never be adequate to house the collections. In addition, exhibit renovations typically are expected to last a maximum of ten years. Assuming we start renovation in 2001, and complete in 2004, the last renovation will be 8 years old. Realizing that the majority of the funds for any expansion would need to come from non- Town sources, the Committee would therefore also like to use the study to test a larger capital campaign than was initially planned. Budget/Cost: Cost of the study, including materials, is anticipated to be $6000. In the Museum's 2000 budget is $39,098 for phase I of the facility expansion project. The $6000 cost would be shared between the Town and the Friends of the Museum. Recommendation: To allocate up to $3000 in matching funds from the Museum's 2000 budget toward a capital campaign feasibility study. -6- ¢ USAGE DAYS FOR SUMMER SEASON 2000 FAIRGROUNDS - 72 days May - 3 days June - 14 days July - 21 days August - 13 September - 17 days October - 2 days BOND PARK - 18 days - Special Events 36 days - Campfire Sing-a-longs RIVERSIDE PLAZA - 1 Figures are from May 20 thru October 15 - (149 days) .4- . i MASTER PLAN REVIEW HISTORY - As far as I can tell - the original Master Plan, developed by BRW of Denver, was in accepted in 1984.
