This is Rocky Mountain National Park, nature's spectacular landscape protected for you to enjoy. 1 I 1 The park straddles the Continental Divide, where 91* 2. melting snows and rainfall either fiow westward toward the Pacific Ocean or southeastward to- ward the Mississippi River and on to the Gulf of - Mexico. Pathways to Beauty 2 4 3- Trail Ridge Road, the highest continuous paved highway in the United States, travels through the heart of the national park from v ~ 2% Estes Park to Grand Lake, pro- viding access to the delicate ··i beauty of the Alpine Tundra that comprises a full third of the park's 415 square miles. This route, with 11 miles of - pavement above tree line, climbs from the Park Head- =+11 . quarters Visitor Center (7,840 feet above sea level) to more than 12,000 feet. It is open from Memorial Day until late fall when heavy snowfalls at the summit make it im- practical to clear the route. Fall River Road is a dramatic eleven-mile jour- ney uphill, past waterfalls, glacial deposits, icy pools and breathtaking vistas. A Nature Preserve r Wildlife watching is at its best as herds of win- some mule deer browse only a few feet away, elk congregate in open meadows and bighorn sheep graze on hillsides. While most often seen during fall and winter, summer sightings of big game are common. State and Regional associations continue to lead the May-as-the-main-users_of_-the conference center. 1994 had thir*y (30) State or Regional associati;ns select Estes Park for one orlmoremof-their state conventions-.-/ The second leading market use of the conference center was the Corporate market. This market is worked by the sales staff of the ~~, Holiday Inn. These groups are smaller in number of attendees, but their rate is higher. It is my recommendation that the Holiday Inn continue to pursue this market and focus on maintaining their rate. n The third leading market is one which the Town's staff and Holiday U Inn will continue to sell -- the "SMERF" market (SMERF stands for SOCIAL, MILITARY, EDUCATIONAL, RELIGIOUS and FRATERNAL). 4 The conference center has enj oyed continued support from all three U major universities in the area, with CSU being our major player. FRATERNAL uses include Rotary, Lions, American Legion, Elks, Quota, etc. The RELIGIOUS market is assigned to the Holiday Inn staff and the ~ Town will not participate in this market, as agreed upon with other local conference centers. The GOVERNMENT market has been a secondary market since opening of the conference center. 1994 had seven government groups book the ( <) center, and we will continue to solicit this market but realize the 41 number of conferences and the rate make this a lower third in groups. 1995 will find the Sales Director working a new market. Non-profit organizations continue to grow in Colorado and we feel we offer an ~~) excellent location for them to meet. We have already j oined CANPO (Colorado Association of Non-Profit Organizations), and will spend thirty percent of our selling time soliciting this new territory. The following shows the estimated sales time allocated to each area for the Town's sales people: Associations 40% Non-Profits 30% SMERF 20% Government 10% Corporate 0% TOTAL 100% 12. PRODUCT ANALYSIS As in the past, after each conference, a survey of each group was conducted along with questions on where the group will be going for their next year's conference. 1994 showed a dramatic decrease in re-bookings for the conference center, and upon collating the questionnaires, it became apparent that the groups want more "higher end" guest rooms. The conference center ratings were high; service was ranked high; but guest rooms were ranked low. The ownership of the Holiday Inn has been extremely responsive to the requests of their guests, and a major two-year plan is being designed to address the deficiencies of the property, with special attention being placed on the exterior, hallways, Holiday Inn meeting space, and guest rooms. Collins 200 14 $500,000 Renovation Program As for the Estes Park Conference Center itself, it is showing no -3 sign of wear, and the Holiday Inn maintenance staff is doing an excellent job of cleaning the facility. I believe that during the next 24 months, construction at the Holiday Inn may hinder the bookings of some groups. The timing for --43 construction will be allocated during the off-season, which will affect conference bookings. However, the upgrading of the property is much needed and every effort will be made to accommodate bookings around construction. 13. MARKETINGISALES STRATEGY With the conference dollar being sought after by more and more resort communities, it is important for the Estes Park Conference Center sales department to continue to grow both with new, innovative ideas, as well as contacts in the market place. Following a year-end review of our clients, 1995 will bring several new changes. Now that our Conference Services Department has operated for two full years, we know that the peak service times are September - November, and April - June, leaving the winter and summer months available to better utilize the Conference Services Director's services. Therefore, we have assigned a sales territory to him and sales training will begin in January with him doing sales when he has time available. I will continue to solicit State and Regional Associations, Non- Profits, Government, and SMERF markets. I will serve on the Board of Directors for the Colorado Society of Association Executives (CSAE) for 1995, as well as the Committee for the Rocky Mountain Association of Meeting Planners International (RMAMPI), the Society of Government Meeting Planners (SGMP), and also help run the Summer Conference of the Western Society of Association Executives (WSAE) in June. Goals for 1995 include developing a greater presence in the non- profit organizations; continue to develop leads with associations and blend bookings in and around construction at the Holiday Inn. ADVERTISING PLAN Advertising will continue to play a significant role in keeping and meeting key clients. As we have learned from experience, print ads produce little direct impact on our bookings. We have developed an extremely precise and complete mailing list of potential, as well as past clients and will continue to develop direct mail pieces that will appeal to the decision makers. Association newsletters have proven to be an inexpensive way to direct messages at specific markets, and we will place 1/6 page black & white ads in the state meeting planners newsletters. 17. PUBLIC RELATIONS Local perception of the conference center continues to be an area where we will strive to keep the public informed. 1994 proved to be the best year yet for local groups using the center. Thirty different local organizations used the center, and attendance was at an all time high. A list of users is attached to this section. The local newspaper and radio station have been extremely helpful --9» by printing or reporting on local users. The weekly schedule of conferences have been much appreciated by both the public and the Town. The new sign in front of the center also helps the public to identify groups using the center, and has helped create an awareness of how much the center is being used. Exhibits: All Aboard.4 the Museum's model trains exhibit, closed December 31 with an attendance of over 1000 persons. Outreach included a free open house on Dec. 10 and 11, a model trains program on December 15, history quiz questions weekly on KRKI for exhibit passes, free admission for Chamber of Commerce staff and ambassadors, and preschool tours. The Museum's next exhibit, a collection of World War II home front posters from the Norlin Library at CU, will open March 4. Our Museum worked cooperatively with three other Front Range Museums to produce this exhibit, thereby reducing the cost. We hope to include a section on women's contributions to the home front in honor of Women's History Month in March. Closed Circuit Television: A closed-circuit television has been installed in the National Park Service headquarters building, allowing us to survey the activity there from a monitor at the front desk in the main building. This project was accomplished with funding from the Friends of the Museum and with assistance from Police Chief Racine, a Friends Board member. 4. Professional Development: I have been asked to run for a position on the Board of the Colorado-Wyoming Association of Museums. 19. AGREEMENT THIS AGREEMENT, made this 15th day of December 1994 , by and between the TOWN OF ESTES PARK, COLORADO, A Municipal Corporation, as party of the first part, and The Colorado Hunter & Jumper Association, Inc; as party of the second part, WITNESSETH: WHEREAS, the second party desires to hold a horse show or shows at Estes Park Fairgrounds at Stanley Park, (hereinafter referred to as Stanley Park), Estes Park, Colorado, on the hereinafter set forth dates, and to make contractual agreements for the use of the faci].ities at Stanley Park and services to be furnished by first party in connection with the use of said facilities. NOW IT IS AGREED AS FOLLOWS: 1. The second party shall hold horse shows or halter classes on the following date or dates: Silver Dollar I Date: July 24-30, 1995 (move in 7/24, schooling 7/25, actual show 7/25-7/30) Silver Dollar II August 1-6, 1995 2. First party agrees to furnish to second party all available stalls and exhibition space for animals at Stanley Park as herein provided. First party will not furnish any feed or straw for any of the animals and no cleaning of the stalls except as herein provided. 20. 4 I LEASE THIS LEASE, made and entered into this day of , 19 , between the TOWN OF ESTES PARK, COLORADO, a municipal corporation, hereinafter referred to as Lessor, and the LIONS CLUB OF ESTES PARK, COLORADO, a Colorado Nonprofit Corporation, hereinafter referred to as Lessee. WITNESSETH: Lessor, for and in consideration of the covenants and agreements hereinafter set forth, to be kept and performed by Lessee, has leased and does hereby lease unto Lessee all those premises, situate in the Town of Estes Park, County of Larimer, State of Colorado, known and described as follows, to-wit: The Concession Stand attached to the Grandstand at Stanley Park. TO HAVE AND TO HOLD, the above described premises with the appurtenances, unto Lessee from January 1, 19 hS through January 1, 1996, and Lessee in consideration of the leasing of said premises aforesaid by Lessor to Lessee, covenants and agrees with Lessor as follows: 1. To pay to Lessor, as rent for said premises, fifteen percent (15%) of the gross sales from the operation of the Concession Stand, plus $75.00/year flat fee for natural gas expenses. For the purposes of this Lease, gross sales shall be the total amount of funds realized from all sales of food, beverages and tobacco products from the Concession Stand less sales tax, license fees (including the Town occupation license), liquor liability insurance, and sums paid for capital improvements. Lessee shall be entitled to deduct from the yearly rent, an amount equal to the annual license fees paid to the Town of Estes Park and the State of Colorado for the 3.2% beer license. Capital improvements shall not include repairs as more fully set forth in Paragraph 3 of this· Lease. Said rent shall be due and payable to the Estes Park Fairgrounds Director on or before the 31st day of December, during the term hereof beginning on December 31, 19hs. 2. To keep complete and accurate records of Lessee's operation of said Concession Stand; and to submit to the Town of Estes Park, at the Office of the Estes Park Fairgrounds Director, a copy of such records on or before the rent payment dates as herein provided. 3. To make all necessary repairs to the interior of the demised premises during the term of this Lease, including all 21. . • plumbing, painting, maintenance and replacing of all broken glass or fixtures; provided, however, should repairs become necessary because of structural defects and outside repairs, including the roof of the demised premises, they shall be made by Lessor at its expense. 4. To keep the demised premises safe and clean and in such order as may be required by the regulations of any governmental authority. 5. Not to alter the premises in any manner, except with Lessor's written consent. 6. To allow Lessor or its agents, at all reasonable times, to have free access to the demised premises for the purposes of examining or inspecting the condition of the same or the operation of the Concession Stand. 7. To furnish to Lessor a written physical inventory and statement of value of all improvements, fixtures and equipment presently located in the demised premises. Lessee shall keep said inventory and statement of value current by written notice of Lessor, whenever there are any additions to said improvements, fixtures and equipment. 8. Lessee agrees to procure and maintain during the term of this Lease, the following insurance coverages: A. Comprehensive General Liability Insurance of at least $150,000.00 per injury and $600,000.00 per occurrence. B. Liquor Liability Insurance for the sale of all alcoholic beverages sold by Lessee of at least $150,000.00 per injury and $600,000.00 per occurrence. C. The Lions Club and the Town understand and agree that the Town is relying on, and does not intend to waive, by any provision of this Lease, the monetary limitations (presently $150,000.00 per injury and $600,000.00 per occurrence) or any other rights, immunities and protections provided by the Colorado Governmental Immunity Act 24-10-101 et seq., C.R.S., as from time to time amended or otherwise available to the Town or any of its officers, agents or employees. D. The Town shall be named as an additional named insured on said policies. 9. It is agreed by the parties hereto: A. All improvements, fixtures and equipment, except grills, shall become the property of Lessor when placed in the demised premises, and said improvements, fixtures and equipment shall be insured at Lessor's expense. 21. B. Lessee shall have the concession for the sale of all food, drink, and tobacco products for the Stanley Park Grandstand Area and for the blacktop in front of the Stanley Park Grandstand Area as described on Exhibit "A" attached hereto and incorporated herein by reference during the term of this Lease. Lessor specifically reserves the right to allow or license other concessionaires on the Stanley Park grounds other than the area specifically described on Exhibit "Al' . C. Lessee shall operate said Concession Stand at all events scheduled at the Stanley Park Grandstand Area, and when Lessor requests that the Concession Stand be operated for other even€s at Stanley Park. D. If Lessee shall fail to comply with the conditions of this Lease, or should not well and truly perform all and every one of the covenants and agreements herein contained on the part of the Lessee to be performed and kept, then this Lease shall, at the option of Lessor, cease and absolutely terminate. Notice of such termination shall be delivered to either the then acting President or the then acting Sacretary of Lessee. E. In the event that changes occur which materially affect the operation of the demised premises, either party shall have the option to request that this Lease be renegotiated. F. Lessee may operate the Concession Stand other than at events scheduled at Stanley Park by the Town of Estes Park through the Estes Park Fairgrounds Director. Lessee will pay the Town as rent for the events covered by this specific paragraph five percent (5%) of the gross sales from the operation of this Concession Stand during these events. For the purpose of this specific paragraph only, gross sales shall be defined to mean the total amount of funds realized from all sales of food, beverage and tobacco products from the Concession Stand. COMMENTS: This was the largest crowd we have ever had. Weather was just about perfect this year. We received great reviews - best ever for quality.
