RECORD OF PROCEEDINGS /Stanley Park Committee August 22, 1988 Committee: Chairman Aldrich, Trustees Habecker and Hix Attending: All Also Attending: Mayor Dannels, Trustee Garrett, Execu- tive Director Scott, Public Works Director Widmer, Finance Officer Vavra, HSRC President Russell, Police Chief Racine, Officer Cazan, Clerk O'Connor Absent: Town Administrator Klaphake Chairman Aldrich called the meeting of the Stanley Park Committee to order at 1:58 P.M. DENVER CHAPTER HARLEY OWNERS GROUP AGREEMENT. Director Scott advised the Harley Motorcycle Group has requested use of the fairgrounds September 17 and 18, 1988. The Horse Show and Rodeo Committee approved the request in June, and included a rental fee of $1,000/day. Town Attorney White prepared and submitted an Agreement for approval. Director Scott and the Police Department conducted an investigation of the group's prior events, and the Town should not incur any extraordinary expense in controlling the event. Director Scott has verbally requested there be no music nor racing after 10:00 P.M. All events are to be confined to the fairgrounds. The Certificate of Insurance should be received within a few days. Following discussion, the Committee recommends approval of the Denver Chapter Harley Owners Group Agreement. I.A.F.E. ANNUAL CONFERENCE - AUTHORIZATION TO ATTEND. Director Scott reported the IAFE Annual Conference has been scheduled November 28 - December 1, 1988 in Las Vegas. The Horse Show and Rodeo Committee has recommended two (2) staff persons (Scott and Hinze) and 2 HSRC members attend. Adequate funds are in the budget for this expenditure. The Committee recommends approval of the request. PROFIT AND LOSS STATEMENT FOR ROOFTOP RODEO - REVIEW. President Russell presented the preliminary Profit and Loss Statement for the 1988 Rooftop Fair and Rodeo, as follows: Income $ 67,638.35 Expense 79,141.22 Total deficit ($11,502.87) President Russell stated every attempt was made to control expenses and a "critique" of the event has been conducted. The HSRC contains 27 volunteer members and 26 those members actively participated this year. Discussions are underway for the 1989 Fair and Rodeo. Owners of the carnival have verbally committed to return in 1989. Discussion followed regarding the noise complaints. President Russell advised the HSRC does hope to acquire entertainment next year; however, the time of the performances could possibly be controlled. Due to the greatly expanded event this year, and the hours of volunteer service, the Committee recommends the Mayor submit a BRADFORD PUBLISHING CO. RECORD OF PROCEEDINGS Stanley Park Committee - August 22, 1988 - Page two "Letter of Appreciation" to members of the Horse Show and Rodeo Committee. REPORTS. Finance Officer Vavra reported work has begun on the 1989 Budget. The preliminary budget will be presented to the Board of Trustees during a special meeting September 20, 1988.
