RECORD OF PROCEEDINGS 1special Events Committee May 7, 1992 Committee: Chairman Hix, Trustees Habecker and Gillette Attending: All Also Attending: Trustee Aldrich, Town Administrator Klaphake, Special Events Director and Coordinator Scott and Hinze, Deputy Clerk Heifner Absent: None Chairman Hix called the Committee meeting to order at 3:30 P.M. Director Scott read a letter from the Estes Park Business Association expressing gratitude for the Town's efforts in its participation during the Valentine's Day and President's Day weekends. AGREEMENTS - REOUEST APPROVAL Director Scott presented the requested they be approved: Miniature Horse Show following standard agreements and - June 24-28, 1992 Paint Horse Show - August 8-9, 1992 Americade - September 11, 1992 The Committee recommends approval of all three events, as presented. SCOTTISH FESTIVAL Dr. James Durward distributed a flyer for 1992 Longs Peak Scottish - Irish Festival (LPSIF) events and requested it be included in welcome packets to conference attendees. He also submitted a list of requests for Town assistance, said list including bleachers, traffic cones, and traffic control. Staff noted additional bleachers have been purchased. The Committee recommends the flyer be included in future conference center welcome packets, the Public Works Department provide traffic cones, and the question of traffic control be referred to the Public Safety Committee. Dr. Durward stated that 1991 sales tax from LPSIF field sales totaled A $10 , 5 61.0 0 . RIVERSIDE PLAZA SUMMER USAGE Coordinator Hinze reviewed the 1992 Riverside Plaza activities from May 2, 1992 through August 16, 1992. STORED FILL MATERIAL CLEAN UP The Committee recommends Director Scott proceed with removal and clean up of this material at an estimated cost of $5,500.O0t. POLICY REVIEW - FAIRGROUNDS USAGE Jeff and Kathy Hughes, representing the local 4-H group requested permission to use the fairgrounds facility for 4-H events. Administrator Klaphake stated the Town's policy is to request that groups provide their own insurance, adding the Town as an additional insured. Ms. Hughes submitted a letter from Judith Meyer, CSU Cooperative Extension, stating Ms. Meier's opinion in D� Zit'. cac./ �o� R J ce..e, 06/.�. BRADFORD PUBLISHING GO. RECORD OF PROCEEDINGS Special Events Committee - May 7, 1992 - Page 2 the matter. The Committee recommends the matter be taken under advisement and forwarded to the Town's legal counsel. POLICY REVIEW - FAIRGROUNDS CAMPGROUND USAGE Mayor Dannels, Trustee Hix, and Administrator Klaphake met with owners of local RV campgrounds and reached the following consensus: 1. Stanley Park Horse Shows RV's are acceptable; 2. Stanley Park will accept RV overflows when referred by Chamber of Commerce; 3. All other RV groups will be referred to local RV campgrounds (alphabetically) and if all are full, these groups may be referred back to Stanley Park Campground. 4. New Stanley Park campground rates are $15.00 for limited hookup, $13.00 for dry hookup and a $5.00 dump fee (these fees apply to RV Rallys only). Administrator Klaphake noted Stanley Park may encounter a slight decrease in revenue as a result of the above conditions. The Committee recommends these conditions be accepted. AGREEMENT - REOUEST APPROVAL Director Scott presented the following standard agreement and requested it be approved: Good Sam Group RV Rally, June 26-28 The Committee recommends the above agreement be referred back to the Summer Bummer -Good Sam Club.
