HomeMy WebLinkAboutMINUTES Administrative Committee 1974-01-24/fl RECORD OF PROCEEDINGS Administrative Committee Meeting -January 24,1974 Committee:Chairman Petrocine;Trustees Prosser and Wagner Attending:Chairman Petrocine;Trustees Prosser and Wagner Also Attending:Town Administrator Dale C.Hill,Business Office Manager Duncan and Carl Henderson C.P.A.with the Wayne Hunt Co.Town Auditors BANKING SERVICES: The Committee discussed the advisability of bidding the Town’s Banking services.After considerable discussion,the Committee instructed the Town Staff to investigate further and report back at the next meeting of the Committee. CASH REGISTER: The results of the staff and auditor study of the availability of cash registers and other accounting equipment were reported to the Committee. The most feasible equipment,that will best serve the Town’s purpose of total computer accounting,is the Electronic Register with cassette and an automatic send-receive terminal. The attached proposal from the National Cash Register Company is recom mended by the Administrative Committee for purchase. TRANSPORTATION: The Committee reviewed the presently operating transportation systems in neighboring communities.Several different types of transportation systems were discussed. Further study of the transportation needs of the community will be conducted by the Committee and Staff. TAX REFUND: Some general guide lines were discussed and are recommended by the Committee: 1)Age 62 to qualify; 2)Renter or owner may qualify; 3)The refund in August of 1974,will be the 1972 taxes paid in 1973; 4)Resident of Estes Park; 5)Ratio of percentage of rent will be calculated to determine refund. The Committee instructed the Town Administrator to have a sample ordinance prepared for the next committee meeting. There being no further business,the meeting adjourned. After reviewing your activity levels and requirements, we are recommending one register and one terminal device.One register should adequately handle your volume,including processing of mail receipts.We do not recommend processing the latter on the 260 terminal as you lose the audit trail and control benefits of validation, document and remittance, which is very desireable, as we discussed.In my discussion with BillDoyle and Bill Manual of Larimer County,they strongly recommended the use of the NCR 260 as compared to competitive units.They have been told competitive units are not compatible cassette—wise. Also, potential service conflict is eliminated with unity of vendor. They were very helpful and are ready to begin processing as soon as you are ready with the requisite input devices.
